Position Summary

The Service Sales Assistant provides essential administrative and operational support to the service and sales teams while developing industry-related knowledge for future advancement into estimating, sales, or project management roles. This role acts as a central communication point for clients, vendors, and internal personnel—managing service requests, assisting with order processing, supporting scheduling coordination, and maintaining accurate documentation. The ideal candidate is proactive, detail oriented, and committed to delivering exceptional service while building foundational expertise within the Brin Family of Companies.

 

Key Responsibilities

Client Service & Communication

  • Manage incoming calls for the Minneapolis office with full phone coverage from 7:30am– 4:00pm.
  • Intake, document, and route service requests; communicate updates and resolve issues with professionalism.
  • Serve as the in-office point of contact for Red Dots and emergency work orders.

 

Service, Order & Quote Processing

  • Create and manage work orders (WOs), purchase orders (POs), and service quotes.
  • Assist Sales Pod Leaders with larger quotes, metal projects, and blueprint review.
  • Track unique billing requirements and process credit card and COD transactions.

 

CRM, ERP & Data Systems

  • Act as the CRM subject matter expert; enter service requests, manage plan room activity, and maintain data accuracy.
  • Collaborate with Marketing to ensure CRM, monitor KPI’s and work directly with Brand Experience Director.
  • Maintain Service Team documentation and work with Operational Excellence on SOP’s, Training Initiatives and branded materials.
  • Manage and update sales files in the ERP system.
  • Support the accuracy of system records and client information.

 

Billing & Accounts Payable Support

  • Provide backup AP support when needed.

 

Administrative, Reporting & Internal Support

  • Monitor the servicesupport@bringlass.com inbox and delegate inquiries to the appropriate sales representatives or associates.
  • Support Sales Representatives, Sales Pod Leaders, and the Service Operations Manager with administrative tasks and project coordination.
  • Prepare agenda items, scribe notes, and distribute documentation for weekly meetings.
  • Collect scorecard inputs from the Service Glazier Supervisor and Billing Administrator; update the weekly Huddle scorecard.
  • Collect, organize, and report monthly service profit data.
  • Manage team reporting, metrics, and documentation.
  • Perform general administrative duties while maintaining accuracy, organization, and timeliness.

  • Integrate safety into planning and project execution.

 

Qualifications

  • Two-year postsecondary education or four years of relevant industry experience preferred.
  • Strong computer skills, including Excel, Sage 300 CRE and Sage Paperless experience.
  • Excellent written and verbal communication skills with high professionalism.
  • Strong organizational skills with high accuracy and attention to detail.
  • Ability to work collaboratively and support organizational goals.
  • Inquisitive mindset with a desire to learn and expand skill sets.
  • Ability to sit for prolonged periods and work extensively at a computer.
  • Ability to lift 15 pounds as needed.
