Job Purpose: The Accounting & HR Specialist performs a variety of clerical, recordkeeping, office management and customer service tasks to assist with the smooth operation of the organization.

Essential Duties and Responsibilities 

  • Accounts Receivable Functions
    • Responsible for A/R billings for Service/Retail/Distribution
    • Daily processing of credit card/ACH/Cash/Check payments and bank deposits
    • Respond to customer account inquiries (reprint invoices, email or mail invoices and statements)
    • Investigate and resolve open issues and credits and collection of past due accounts
    Accounts Payable Functions
    • Review AP invoices for proper system entry, process weekly check run
    • Record all AP transactions including managing proper coding and invoice authorization
    • Set up and maintain digital and physical vendor files
    • Investigate/resolve open invoices. Verify vendor accounts by reconciling monthly statementsContract Administration Functions
    • Contract administration, job costing, change order management, lien waivers, and reporting
    • Contract close-outs including IC-134 and AIA documents
    • Prepare reports necessary for State and Federal projects including certified payroll reports, work force goals and any other municipal specific reporting required
    Human Resources Functions
    • Set up and maintain employee files in collaboration with corporate shared services
    • Provides onboarding and HR support as directed for local office
    • Facilitate the new hire orientation and onboardings. New hire packet and update HRIS
    Payroll Functions
    • Verify accuracy of timecards, make corrections as needed and enter into Sage
  •    Ensure accurate calculation of wages, deductions, and taxes, track paid time off
    • Process payroll changes, including new hires and terminations
    • Process 401K, State and Federal taxes, Child Support and garnishments
    Inventory Management
    • Facilitate yearly inventory and report to Corporate, audit as needed
    • Enter new part numbers as needed
    • Maintain price sheets and audit for accuracy
    General Accounting/Administration Functions
    • Assist in month end closing account reconciliations, write-offs, adjustments, and other tasks
    • Compiles budget data and maintains financial records, assist with annual audit workpapers
    • Work collaboratively with accounting team to ensure day to day objectives are achieved
    • Maintain appropriate file retention (both paper and electronic)
    • Develop and maintain processes and procedures both accounting and administratively that support the office in terms of internal controls, ethical business practices
    • Coordinate employee engagement such as parties, happy hours, breakfasts
    • Provides general office management, including facility services, supply ordering, and overall support to the leadership team
    • Other duties as assigned
  • Knowledge, Skills & Abilities
    • High School Diploma
    • Bookkeeping experience or education is preferred
    • Knowledge of basic accounting procedures
    • Hands-on experience with accounting software packages, Sage 100 CRE (Construction and Real Estate)
    • Accuracy and attention to detail
    • Aptitude for numbers and quantitative skills
    • Ability to maintain confidentiality
    • Inquisitive by nature
