Job Purpose: The Operations Manager will oversee the day-to-day business operations for the company, including finance, accounting, human resources, and IT. This is a high growth opportunity for an individual with both finance and personnel management experience.   

Essential Duties and Responsibilities

  • Operations Management: Measure and track all functions, providing a ‘whole business’ view of the organization’s overall performance, from operational, personnel and financial perspective.
  • Manage People: Directly or indirectly manage team members responsible for operations functions, ensuring objectives are met and processes and procedures are documented and followed by all. Collaborate with leadership to forecast, budget, and report business outcomes.
  • Infrastructure Leadership: Oversee the IT functions of the business (as a member of the global IT committee), optimizing systems and developing procedures for operational efficiency. Support development and implementation of process and training initiatives at the local division level.

 

Accounting and Finance Duties and Responsibilities

  • Monitor and manage expenses within the established budget
  • Manage cashflow for division location; Coordinate with corporate for overall cash management
  • Implement financial policies and procedures for operational efficiency; Develop SOPs
  • Execute functions or manage team members responsible for:
    • A/R, A/P and other accounting functions managed at division location
    • Accounts receivable collection process
    • Review contracts, billings, prequalifications, and revenue recognition analysis and reports monthly
    • Collaborate with corporate accounting for budgeting, month-end, annual audit, etc.
  • Report out weekly on successes, weaknesses, opportunities and threats to the business (SWOT); reporting on key performance metrics that drive business success
  • Develop projections, forecasts and other analysis required locally, or by corporate
  • Subject matter expert for accounting softwares
  • Notary
  • Other duties as assigned

Other Administrative Operations Duties and Responsibilities

  • Develop and implement Standard Operating Procedures across the organization
  • Work with business development to forecast revenue, set benchmarks, and manage KPIs
  • Participate as the IT liaison for division location on the corporate IT committee; Primary point of contact for resolving IT issues with the IT service partner and planning for future IT development
  • Guide and develop internal staff, helping to build training plans, job aides, development plans, succession planning process and supporting overall employee growth
  • Manage internal projects spanning multiple business functions
  • Execute functions or manage team members responsible for:
    • Payroll processing
    • Benefit administration and 401(k)
    • HRIS and employee file management
    • Employee management, including: Orientation and onboarding for new employees; performance management and disciplinary administration; and termination procedures for departing employees

Knowledge, Skills & Abilities

  • 10 years’ experience in general business administration with combined in several of the following: accounting, finance, sales, HR and/or IT
  • Experience working on financial plans, projections, and analysis
  • Proven proficiency in using online tools, Microsoft Office, Excel, and other business programs
  • High degree of detail, accuracy and accountability to project goals and expectations
  • Good communication aptitude – verbal, written and in person
  • Must be able to work alone, and in a group environment
  • Must have reliable transportation and a valid driver’s license and insurance
